Note: This feature is available only to administrators.
Product search preferences control the appearance, behavior, and available features for the product list and its search methods. You can select which display users see upon entering DolphinRTK, grant or revoke different search methods, narrow the product list to show only certain kinds of products, and more.
You can define two types of product search preferences: company-wide preferences and site-specific preferences. Company-wide preferences are general settings for the whole company; site-specific preferences are used only at specific company sites, and are useful for ensuring that (for example) when a user logs in at a company site, he/she sees only products found at that site or products whose MSDSs are written in the site's local language.
How each type is used depends on whether your system uses location logins:
When your system has location logins disabled: When entering DolphinRTK, each user does not select his/her company site. Therefore, each user enters a general, company-wide system using company-wide search preferences only. Site-specific search preferences can be created and saved, but they have no application.
When your system has location logins enabled: When entering DolphinRTK, each user selects his/her company site (any top-level location in the location tree). Because the user's site is identified, the system shows the site-specific search preferences saved for that site. If the site has no site-specific preferences, it reverts to the company-wide preferences.
See below for details on the available settings and how to edit them.
These options control the default appearance and behavior of the product list.
Initial Product Search Page: Select the display where users begin when they enter DolphinRTK and where they can return by clicking Product Search in the main toolbar. The available displays are:
Introduction: A display showing the user how to perform a simple search.
Browse for a Product: The display showing the data types by which the user can browse the product list.
Advanced Search: The display where the user can perform an advanced search.
Products: The product list sorted by product name.
Bar-Codes: The product list sorted by bar-code.
Synonyms: The product list sorted by synonym.
Ingredients: A display showing all chemical ingredients in your products. Users can click an ingredient to see which products contain it and (when list matching data is available) which regulatory lists cite it.
[User-Defined Field]: The product list sorted by the selected user-defined field.
Display "Internal ID" as: If your company or site uses a term other than "Internal ID" to describe a code or ID number that identifies a product internally, enter that term here. This term replaces "Internal ID" on the product list and on all other displays showing products' internal IDs.
Date Format: Select the format in which MSDS revision dates are displayed.
Show MSDS revision date on product list: Select this option to have the product list show each product's MSDS revision date. Clear this option to remove this data from the product list display.
Show manufacturer on product list: Select this option to have the product list show each product's manufacturer. Clear this option to remove this data from the product list display.
Show matches in all caps: Select this option to have the product list show product names in all capital letters. Clear this option to have the product list show product names however they are entered in DolphinRTK.
Show all matches (instead of only most recent): Select this option to have the product list show only the most recent revision of each product in each MSDS format. Clear this option to have the product list show all active product revisions.
Show MSDS Format on Product List: Select this option to have the product list show each product's MSDS format. Clear this option to remove this data from the product list display.
These options control the availability of various product search methods.
Browse: Select this option to add the Browse icon to the Product Search page; this allows users to browse the product list. Clear this option to remove this icon from the Product Search page.
Advanced Search: Select this option to add the Advanced icon to the Product Search page; this allows users to perform advanced searches. Clear this option to remove this icon from the Product Search page.
Find Box: Select this option to add the Find search field to the Product Search page; this allows users to perform simple searches. Clear this option to remove this field from the Product Search page.
These options control the default behavior of simple searches and advanced searches. To allow users to modify one of these options during an advanced search, select its Show check box in the far left column; to prevent users from modifying an option, clear its Show check box.
Include products no longer used: Select this option to show archived products in the product list. Clear this option to have the product list show active products only.
Search Type: Select how a search term is matched to product data during a search:
Exact Match: Matching product data exactly matches the user's search term.
Starts With: Matching product data starts with the user's search term.
Contains Phrase: Matching product data contains the user's search term; if the search term is multiple words, the matching product data contains those words in the same order.
Contains All Words: Matching product data contains the user's search term; if the search term is multiple words, the matching product data contains those words in any order.
MSDS Language: To have the product list show only products with MSDSs written in a certain language, select that language here.
Search Scope: Select each data area where a search will seek product data matching the user's search term.
Manufacturer: To have the product list show only products from a certain manufacturer, select that manufacturer here.
Locations: To have the product list show only products assigned to (or to a sub-location of) a certain location, select that location here.
MSDS Format: To have the product list show only products with MSDSs of a certain format, select that format here.
To change your system's product search preferences:
Starting at the Administration page
Under System Preferences, click Product Search.
The Product Search Preferences display opens, showing your current company-wide search preferences.
To change your company-wide search preferences, skip to step 3. To change the search preferences at a company site (useful only if your system has enabled location logins), select that site in the Preference selection menu.
The selected company site's current search preferences are displayed.
Make all desired changes to the displayed search preferences. See above for details on each option.
Click Save in the lower right.
Your changes to the search preferences are saved.
